De Young Properties is seeking a highly motivated and organized Executive Assistant to join our dynamic team. As the President’s right hand, you'll be responsible for strategic support and efficiency, communication and relationship management, project management and event coordination, and problem-solving. We are seeking an exceptional individual who can become a true asset to our Leadership Team and contribute significantly to the company's success. The pay range for this full-time position is $25 to $33 per hour.

  • The ideal candidate understands how to prioritize tasks based on their contribution to the President/Executives’ strategic goals.

  • Should be able to manage the President/Executives’ calendar to optimize their time for high-impact activities.

Key Performance Indicators (KPIs):

  • Strategic Support and Efficiency: Drive the President/Executives' success by managing their time, information flow, tasks, and priorities, ensuring alignment with strategic goals.
  • Communication and Relationship Management: Facilitate seamless communication between the President/Executives and internal/external stakeholders, fostering strong relationships. Build strong relationships with internal and external stakeholders is crucial, with an emphasis as a strategic partner.
  • Project Management and Event Coordination: Deliver exceptional project management and event coordination, ensuring smooth execution and achieving desired outcomes. This role goes beyond basic administrative tasks and involves project planning and management.
  • Problem-Solving and Initiative: The role requires anticipating needs, solving problems, and taking initiative, demonstrating resourcefulness in streamlining processes.

Additional Responsibilities:

  • Provide backup coverage for the Front Desk, including greeting visitors, answering phones, and handling basic administrative tasks.
  • Maintain a professional and organized work environment.
  • Proactively manage and complete a variety of tasks to directly support the President/Executives' priorities and goals, including both professional and personal requests, ensuring, confidentiality and discretion.
  • Supervise Administrative Assistant on daily operations and projects.

Requirements:

  • A bachelor’s degree plus 2-5 years of related experience.
  • Advanced technology skills with an affinity to quickly adapt to new software. Daily use of Microsoft Suite, Word, Excel, PowerPoint, Outlook calendars and scheduling, Google Docs, AI Chat GPT, PDF editing, advanced document formatting, and presentations.
  • Must have a clean background and credit history.
  • Must have a valid CA driver’s license and a reliable vehicle for local events and errands.
