Key Responsibilities:

• Greet and welcome guests and customers, whether in person at the front desk or via phone, provide friendly customer service and direct inquiries appropriately.

• Coordinate timely pickup and delivery of corporate documents at vendor offices.

• Assist the Executive Assistant with daily operations, event planning, and special projects.

• Provide support to Human Resources as needed.

• Utilize advanced technology skills to transcribe, format, input, edit, retrieve, copy, and transmit text, data, and graphics upon executive request.

• Liaise with vendors for services and manage office supply deliveries.

• Maintain lists, calendars, and action items for meetings, birthdays, and anniversaries.

• Handle sensitive and confidential information with the utmost discretion.

• Engage in project management, ensuring the successful execution of tasks through collaboration with support staff, tracking progress, and providing timely updates to the team.

• Send event invitations, manage RSVPs, and assist with event logistics.

• Set up event venues, including tables, shelters, and displays.

• Ensure the corporate office, including reception, conference rooms, copier areas, kitchen, and supply rooms, is organized and maintains a professional appearance.

• Oversee the pickup and delivery of promotional items, refreshments, and displays for events.

• Maintain inventory and place orders for office and food supplies.

• Attend and assist with events as needed, ensuring smooth execution, which may involve working overtime, on weekends, or outdoors in various weather conditions.

Education/Experience:

Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience.

Language Ability:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.

Math Ability:

Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

Computer Skills:

To perform this job successfully, an individual should have knowledge of Word, Excel, Outlook, and Google Docs.
